Power BI Pro is the per-user license option of Power BI designed for individuals and teams who need to create, share, and collaborate on reports and dashboards. With Pro, you get full access to the Power BI Service: you can connect to a wide variety of data sources, transform and model data, and build interactive reports and dashboards that business users can interact with.
One of the core strengths of Pro is collaboration: Pro users can publish reports and dashboards to shared workspaces or “apps,” and then share them with other Pro users. This supports collaborative data analysis, version control, and group access to the same up-to-date reports. Additionally, Pro supports scheduled data refresh — meaning your reports and dashboards can update automatically (up to 8 times per day), instead of manually republishing data every time something changes.
Compared with the free version of Power BI, Pro significantly increases capacity: each Pro user gets larger cloud storage (about 10 GB) and can publish datasets up to 1 GB. Pro also lets you embed reports and dashboards into other Microsoft tools (like Teams, SharePoint) or internal apps, making it easier to integrate analytics into daily workflows.
However, Pro has some limitations compared with the enterprise-level license option (Power BI Premium). Pro is user-based — every person who needs to view or share content must have a Pro license. The data capacity is more modest, and Pro doesn’t unlock the large-scale data handling, advanced AI or paginated/print-ready reports that Premium offers.
System Requirements
The following list provides the minimum requirements to run Power BI Desktop:
- Windows 10 or Windows Server 2016 or later. For Windows on ARM, the 2025-09 Cumulative Update is required (KB5065789).
- .NET 4.7.2 or later.
- Microsoft Edge browser (Internet Explorer is no longer supported)
- Memory (RAM): At least 2 GB available, 4 GB or more recommended.
- Display: At least 1440×900 or 1600×900 (16:9) required. Lower resolutions such as 1024×768 or 1280×800 aren’t supported because some controls (such as closing the startup screens) display beyond those resolutions.
- Windows display settings: If you set your display to change the size of text, apps, and other items to more than 100%, you won’t see some dialogs that you must interact with to continue using Power BI Desktop. If you encounter this issue, check your display settings in Windows by going to Settings > System > Display, and use the slider to return display settings to 100%.
- CPU: 1 gigahertz (GHz) 64-bit (x64) processor or better recommended.
- WebView2: If WebView2 wasn’t automatically installed with Power BI Desktop or if it was uninstalled, download and run the installer for WebView2.
